TOUR AND EVENT RESERVATION FORM
By completing and submitting the Freedom Biker Tours online Tour and Event Reservation Form, and by clicking and acknowledging that you have read, understood and comply with all Freedom Biker Tours Terms and Conditions, you are thereby accepting all of these Terms and Conditions as a binding contract between Freedom Biker Tours and yourself, the Biker, Passenger and Tour and Event Participants. Please read our Terms and Conditions carefully. Should you have any questions, please contact Freedom Biker Tours by e-mail or phone. We are here to help our Biker Brothers and Sisters. A Tour and Event confirmation will be sent by e-mail once a reservation is made and a deposit is received.
RELEASE, WAIVER and PRIVACY POLICY
All Bikers, Passengers and Tour and Event Participants in a Freedom Biker Tours Tour and Event are required to read, accept and confirm their agreement to the form of Release and Waiver and forming part of the online reservation as a condition of proceeding with placing a reservation for the Tour and Event. This Release and Waiver takes full legal effect and becomes legally binding upon submitting an online reservation form and confirmation of a reservation. All Bikers, Passengers and Tour and Event Participants are further required to execute and sign a written form of the Release and Waiver at the outset of the Tour and Event to reconfirm their understanding and agreement that they are bound legally and contractually to the Release and Waiver.
If riding 2-Up, Biker, Passenger and Tour and Event Participants must each personally complete an individual online reservation form and must each personally agree to the Release and Waiver. All Bikers, Passengers and Tour and Event Participants are recommended to please read and review the Release and Waiver prior to clicking the check box. Freedom Biker Tours is unable to accept a Biker, Passenger, or Tour and Event Participant without the Liability Release Waiver Form in place prior to the event.
By agreeing to these Terms and Conditions, all Bikers, Passengers, and Tour and Event Participants further give their consent to the collection, release, use, disclosure, and storage of their personal information as outlined in the Privacy Policy as found on the website here: Privacy Policy
RESERVATION AND DEPOSIT
Each Tour and Event reservation requires a per person deposit of CAD $500 at time of booking. This Deposit will confirm and hold your spot on the Tour and Event. The deposit is 100% refundable up to 60-days prior to the start date of the Tour and Event.
A reservation may be cancelled up to 60-days prior to the start date of the Tour and Event, and your deposit will be refunded in full. Your deposit is 100% non-refundable if your reservation is cancelled with a minimum of 60-days notice in writing. Balance of payment is due no later than 60-days prior to the start date of the Tour and Event. 25% of your total reservation price will be applied towards a cancellation fee if your reservation is cancelled between 60-45 days prior to the start date of the Tour and Event. 50% of your total reservation price will be applied towards a cancellation fee if your reservation is cancelled less than 45-days prior to the start date of the Tour and Event. 100% of your reservation price will be applied towards a cancellation fee if the cancellation is received less than 30-days prior to the start date of the Tour and Event, or if the Biker, Passenger and Tour and Event Participant does not show up for the Tour and Event. Refunds, if applicable, we be issued within 30-days of receiving the cancellation notice in writing.
All cancellations must be sent to Freedom Biker Tours in writing.
Our Tours and Events have limited availability, so if you are unable to join us, and need to cancel your reservation, please inform Freedom Biker Tours as soon as possible so we can open-up a spot for another Biker, Passenger or Tour and Event Participant.
Accepted payment methods are e-transfer to [email protected], Visa, MasterCard, Visa Debit and MasterCard Debit. If paying by Credit or Debit Card, a 3.5% Administrative Processing fee will be added for Canadian cards and 4% for International/Foreign Currency cards. Receipts will be sent by e-mail once payment has been processed.
Eagle Rider: If the Motorcycle Rental component of the Tour and Event is from Eagle Rider, all applicable Terms and Conditions (including Deposit) of the rental agreement are those of Eagle Rider. Please CLICK HERE. The contractual relationship of the Motorcycle Rental agreement is strictly between Eagle Rider and the Tour and Event Participant. Freedom Biker Tours is not liable or responsible for any loss, damages or costs arising from the relationship between Eagle Rider and the Tour and Event Participant.
Eagle Rider Motorcycle Rental Booked Separately. Pricing for a Freedom Biker Tours Tour and Event that includes a rental motorcycle from Eagle Rider is based on an average touring model Harley-Davidson available from Eagle Rider and does not include any ancillary options and related fees, including but not limited to, Motorcycle Model Guarantee, Roadside Assistance, VIP Theft & Damage Waiver, Supplemental Liability Insurance, Jacket and Full Face Helmet Rental. All ancillary options are at the discretion of the renter and must be purchased at time of booking. Freedom Biker Tours highly recommends the renter purchase Motorcycle Model Guarantee, VIP Zero Plus Theft & Damage Waiver, Supplemental Liability Insurance and Roadside Assistance. The Rental Contract is solely between the renter and the rental agency and Eagle Rider’s Terms and Conditions override those of Freedom Biker Tours. Harley-Davidson Rentals other than with Eagle Rider: If the Motorcycle Rental component of the Tour and Event is from one of our other Harley-Davidson rental partners, or a different brand of motorcycle, all applicable Terms and Conditions of the rental agreement are those of the specific rental dealership. BALANCE OF PAYMENT
Balance of payment is due no later than 60-days prior to the start date of the Tour and Event. If you would like to pay the remaining balance earlier or with a different method of payment, please contact Freedom Biker Tours. If paying by e-transfer, please ensure we receive the e- mail prior to the 60-day deadline, or your spot on the Tour and Event may be subject to automatic cancellation with no deposit refund.
By agreeing to Freedom Biker Tour’s Terms and Conditions, and if paying by credit card, you authorize Freedom Biker Tours permission to charge your card(s) 60-days prior to the start date of the Tour and Event. Should your card be declined for any reason, you authorize Freedom Biker Tours to re-initiate any charge(s) to your card(s) for a maximum of three (3) attempts after which, your reservation may be subject to automatic cancellation with no refund of deposit.
If Freedom Biker Tours does not receive the remaining balance due at least 60-days prior to the start date of the Tour and Event, we reserve the right to cancel your Tour and Event reservation and apply the deposit as a non-refundable cancellation fee.
BAGGAGE
Please bring only what you would typically pack for a road-trip on a motorcycle based on the duration of the tour. We are Bikers; please do not over-pack. One (1) additional small bag for each Biker, Passenger and Tour and Event Participant can be carried in the support vehicle for the duration of the Tour and Event. Freedom Biker Tours assumes no responsibility for loss, theft, or damage of luggage. Baggage insurance is recommended.
TRAVEL TO/FROM TOUR AND EVENT START & FINISH LOCATIONS
Travel to/from the Tour and Event start, and finish locations is not included in the Tour and Event price. It is the Biker, Passenger and Tour and Event Participant’s responsibility to arrange their own travel to/from the Tour and Event start and finish locations. Freedom Biker Tours is not responsible for these arrangements or liable in any way for any delays resulting from these arrangements. It is the Biker, Passenger and Tour and Event Participant’s responsibility to inform Freedom Biker Tours of any delays or travel interruptions while enroute to the Tour and Event start location. It is the Biker, Passenger and Tour and Event Participant’s responsibility to arrive at the Tour and Event start location allowing enough time to pick-up their bike and connect with the other Bikers, Passengers and Tour and Event Participants and the Freedom Biker Tours crew at the designated location and time. Should they be required, additional hotel nights are the responsibility of the Tour and Event participant(s).
INDIVIDUAL TOUR AND EVENT PARTICIPANT CANCELLATIONS AND REFUNDS
A Tour and Event reservation may be cancelled by the Biker, Passenger and Tour and Event Participant up to 60 or more days prior to the start date of the Tour and Event, and the deposit will be refunded in full.
Your deposit is 100% non-refundable if your reservation is cancelled at least 60-days prior to the start date of the Tour and Event. Canadian Harley-Davidson rental dealerships do not require an initial up-front deposit for the Motorcycle Rental component of the Tour and Event. Cancellations are permitted up to 72-hours prior to the pick-up date of the Motorcycle Rental with no penalties. For more details, please see the Ride Information on the Freedom Biker Tours website for the specific Tour and Event.
Please click and read Eagle Rider Terms and Conditions for specific details pertaining to the Motorcycle Rental component of any Tour and Event that involves an Eagle Rider rental. Eagle Rider rental terms and conditions override and supersede the Freedom Biker Tours terms and conditions pertaining to deposits, cancellations and refunds.
TOUR AND EVENT CANCELLATION OR CHANGES
Freedom Biker Tours reserves the right to cancel, postpone, shorten, or change a Tour and Event. Freedom Biker Tours cannot accept responsibility for every such event, and trip cancellation insurance is strongly advised.
In the event of any shortening, change or postponement of a Tour and Event, or in the rare event of an entire Tour and Event cancellation, Freedom Biker Tours will notify all Bikers, Passengers and Tour and Event Participants immediately.
In the event of a cancellation , postponement or shortening of a Tour and Event by Freedom Biker Tours for business or other reasons within its reasonable control, Freedom Biker Tours will issue a full or prorated refund to any Biker, Passenger or Tour and Event Participant, as the case may be, and that refund shall be the full extent of its liability and Responsibility to make compensation for loss, damages or costs arising at law.
FORCE MAJEURE EVENTS (INCLUDING COVID-19 or OTHER PANDEMICS or SIGNIFICANT HEALTH RISKS)
The past international emergency due to the COVID-19 Epidemic and the ongoing risk of Force Majeure, weather and circumstances that are beyond the reasonable control of Freedom Biker Tours requires that Freedom Biker Tours may be obliged to cancel, alter, postpone or shorten a Tour and Event or itinerary for reasons beyond its control.
In the event of a cancellation, postponement or shortening of a Tour and Event for reasons beyond its reasonable control, Freedom Biker Tours may where financially feasible elect at its sole discretion to offer full or prorated voluntary refunds, but its strict legal obligation to issue refunds shall in all cases be limited to the amount that would have been payable under its individual cancellation policy as if the Biker, Passenger or Tour and Event Participant has cancelled upon the day of cancellation or, in the case of a shortening of the Tour and Event, a pro-rated refund calculated based on the individual cancellation policy upon the date of notification.
For greater certainty, “beyond its reasonable control” includes any change in circumstances commonly considered to be in the nature of “Force Majeure” or any other circumstances beyond its reasonable control that would result in a net financial loss to Freedom Biker Tours if the Tour and Event proceeded including the unilateral actions of third parties.
In the event of a Tour and Event cancellation, Freedom Biker Tours may at its sole discretion offer to operate an alternate Tour and Event if sufficient booked customers agree. The alternate Tour and Event may be subject to a supplemental charge. In the event participants elect to participate in an alternate Tour and Event they waive any right to a refund arising from a cancellation of the original Tour and Event. Except as set out in these Terms and Conditions Freedom Biker Tours is in no circumstances liable for any amount exceeding reservation monies received, and is not liable for any additional or consequential costs, damages or losses incurred by the Bikers, Passengers and Tour and Event Participants due to Freedom Biker Tours cancellation, postponement, alteration or change of a Tour and Event for any reason. This includes but is not limited to losses in respect of airfare costs, hotel reservations, vehicle rentals and deposits of any kind. Trip cancellation insurance is advised.
For greater certainty, Freedom Bike Tours has no responsibility or liability for loss, liability or damage arising from an effort to manage, limit and avoid undue risk or otherwise respond to and address Force Majeure or emergency circumstances beyond its reasonable control such as a COVID-19 outbreak.
Situations may arise which will make it necessary for Tours and Events to be changed and adjusted. Itineraries may need to be altered and substitutions made regarding routing, accommodation and food and beverage providers, cities, Tour and Event guides and other travel arrangements and other components of the Tour and Event. In that event, Freedom Biker Tours does not assume any responsibility or liability for any resulting losses, expenses incurred, or inconvenience. Freedom Biker Tours recommends that every Biker, Passenger and Tour and Event Participant purchase adequate travel, medical/health, and accident insurance, as well as trip cancellation insurance.
NON-OBSERVANCE OF LAWS & GROUP TRAVEL REGULATIONS
If the Biker, Passenger and Tour and Event Participant does not comply with traffic laws and follow safety practices and any directions, rules and requirements for group travel set by Freedom Biker Tours or the jurisdiction the Tour and Event is travelling in, Freedom Biker Tours may require that the Biker, Passenger, and Tour and Event Participant leave the group. This includes, but is not limited to, traffic laws, unsafe riding practices, including alcohol and narcotics consumption while riding, verbal, and physical abuse, and abusive or criminal behaviour.
Any Tour and Event Participant required to leave the Tour and Event agrees to thereafter respect and adhere to a minimum 500 metre exclusion zone from the group and other Biker, Passenger, and Tour and Event Participants for the balance of the Tour and Event, and agrees not to follow, interact with, shadow, or harass the group or other Biker, Passenger, and Tour and Event Participants.
If necessary, Freedom Biker Tours reserves the right to involve the police.
DRIVERS LICENSE, MINIMUM AGE & OTHER REQUIREMENTS
All Bikers, Passengers, and Tour and Event Participants must be of legal driving age and hold a valid driver's license with motorcycle endorsement. In order to rent a motorcycle, all Renters must be at least 21 years of age or older, and must have a valid motorcycle drivers license. It is recommended to have a minimum of one (1) year's riding experience on the motorcycle they are riding on the Tour and Event, or similar size motorcycle. Some experience riding in groups is also recommended, and the ability to ride at posted speed limits. A major credit card is required.

TOUR AND EVENT GUIDES & FREEDOM BIKER TOURS CREW
Your Freedom Biker Tours Crew are bikers too. They and the group’s Tour and Event guides are there to assist you while on the Tour and Event and will do their best to ensure that every Biker, Passenger, and Tour and Event Participant gets the most out of their Freedom Biker Tours experience. It is extremely important for all Bikers, Passengers, and Tour and Event Participants to listen carefully and pay attention to all briefings and instructions. This will ensure everyone’s health and safety, and the best possible group riding experience. Bikers, Passengers, and Tour and Event Participants may be required to leave the Tour and Event if they do not follow the directions, rules and regulations set by Freedom Biker Tours.
WEATHER CONDITIONS
Freedom Biker Tours does our best to schedule Tours and Events at a time of the year when the weather in the Tour and Eventing region is typically pleasant for riding. However, we are all bikers, and we all understand weather conditions and how they relate to riding. It is expected that all Bikers, Passengers, and Tour and Event Participants will come prepared for all possible weather conditions. Some Tours and Events ride through areas where weather conditions can change quickly. Freedom Biker Tours cannot be held liable for unpleasant and unsuitable weather conditions. No refunds shall be granted for such conditions.
INSURANCE
Freedom Biker Tours is an insured Tour Operator and is in good standing with the Consumer Protection Act of British Columbia.
Freedom Biker Tours offers no personalized insurance to Bikers, Passengers, and Tour and Event Participants, and participation in Tour and Event Events is entirely at the sole risk and responsibility of the Biker, Passenger, and Tour and Event Participants.
To ride with Freedom Biker Tours, Each Biker, Passenger, and Tour and Event Participant must have current valid insurance coverage for their motorcycle. In addition, Freedom Biker Tours strongly recommends that each Biker, Passenger, and Tour and Event Participant purchase adequate travel, medical/health, and accident insurance as well as trip cancellation insurance prior to leaving home for the Tour and Event.
MOTORCYCLE RENTALS
Freedom Biker Tours will assist our Tour and Event Participants with any Motorcycle Rental arrangements they may require.
Freedom Biker Tours does not rent motorcycles, but we do include the cost of rental bikes in some of our Tour and Event pricing where applicable. We work with reputable rental organizations. For those Rides with pricing that may not include a rental bike, we do recommend reputable rental partner organizations that work closely with us. For our Rides, Tours, and Events, should the Biker, Passenger, and Tour and Event Participant wish to rent a motorcycle from Eagle Rider or another participating Harley-Davidson rental partner and participate in a Freedom Biker Tours Tour and Event, the rental relationship and all transactions are solely between the Biker, Passenger, and Tour and Event Participant and Eagle Rider or the participating Harley-Davidson rental partner. Freedom Biker Tours is not responsible for liability, costs, damages, expenses, or inconveniences resulting from anything involving the rental and rental agreement between the Biker, Passenger, and Tour and Event Participant and Eagle Rider or the participating Harley-Davidson rental partner.
SHIPPING OF MOTORCYCLES
From time to time, at the choice and discretion of the Rider and Tour and Event Participant, Freedom Biker Tours may arrange the shipping, packing, or unpacking of Rider and Tour and Event Participants personal motorcycles. To facilitate the shipping of personal motorcycles, Freedom Biker Tours has a relationship with CMTA Travel Services, a division of the Canadian Motorcycle Tourism Association. CMTA Travel Services will arrange the handling and shipping of personal motorcycles directly with the Rider and Tour and Event participant.
On a case-by-case basis, Freedom Biker Tours may include the cost of shipping, packing, or unpacking personal or rental motorcycles in the price of some of its Tours and Events. For more details please see the Ride information page for each Tour and Event.
Freedom Bikers Tours is not liable to the Biker, Passenger, and Tour and Event Participant, or the shipping company for any loss, damage or claim arising from any misadventure arising out of the packing, shipping, and unpacking of motorcycles.
Freedom Biker Tours may at its option make arrangements to secure shipping options for the Biker, Passenger, and Tour and Event Participants and collect fees related to booking the shipping, packing, or unpacking of motorcycles and pay fees for packing, unpacking, and shipping on behalf of a Biker, Passenger, and Tour and Event Participant as their agent, but it assumes no liability or responsibility whatever thereby for the safe shipping and handling of the motorcycles.
If shipping your personal motorcycle in order to participate in a Tour and Event, and making your own shipping arrangements, it is the responsibility of the Biker, Passenger, and Tour and Event Participant to ensure that their motorcycle arrives in plenty of time to participate in the Tour and Event. Freedom Biker Tours is not responsible if a motorcycle does not arrive on time.
TRANSFERS
Where applicable and appropriate, airport or other transfers may be included in the Tour and Event. Restrictions may apply, and service and options may vary at some locations.
HELMETS & RIDING GEAR
It is the responsibility of all Bikers, Passengers and Tour and Event Participants to bring their own helmets and riding gear so that they may have a safe and enjoyable Tour and Event and riding experience. Safe and effective riding gear includes, but is not limited to helmets, riding boots, jackets, vests, chaps, gloves, and rain gear. Freedom Biker Tours does not supply helmets or any other riding gear. Some rides include a helmet or other gear with the bike rental. Please see ride details for full information and confirm with motorcycle rental agency.
FUEL AND OIL
Freedom Biker Tours includes fuel (and oil if required...) costs in the Tour and Event price as required on official Tour and Event riding days. However, Freedom Biker Tours reserves the right to charge an additional fee if fuel costs significantly exceed the average price per litre/gallon as at three (3) months prior to the Tour and Event start Date.
FOOD & BEVERAGE
From time to time Freedom Biker Tours will include meals in its Tours and Events. On a per person basis, and with the exception of possible outdoor picnic lunch stops, these meals include one entre per person and non-alcoholic beverages. The cost of additional food items such as appetizers and deserts, is the sole responsibility of the Tour and Event Participant. At no time does Freedom Biker Tours approve of, or encourage alcohol consumption while riding motorcycles on its Tours and Events. Alcohol consumption is discouraged and prohibited while riding.
CONSENT TO USE PHOTOS, VIDEOS & TESTIMONIALS
Freedom Biker Tours may seek during the Tour and Event to have you Consent To Use Photos And Videos From Our Tours and Events in which you are visible For Marketing Purposes Both For Online And Print Materials. We will not use your identifiable image without your consent.
